This Privacy Policy describes how Cumulus Software, LLC, a Wyoming limited liability company (“Resida,” “we,” “us,” or “our”), collects, uses, discloses, and protects information when you use the Resida platform and related services (the “Service”).

This policy applies to all users of the Service, including tenants, landlords, property managers, and administrators.


1. Overview

Resida provides software tools that facilitate communication, payment coordination, and information management between landlords and tenants.

Resida is a technology platform and is not a landlord, property manager, financial institution, or party to rental agreements.


2. Information We Collect

We collect information in the following categories.

2.1 Information You Provide

When creating or using an account, you may provide:

  • Name
  • Email address
  • Phone number
  • Mailing address
  • Property or tenancy information
  • Account credentials
  • Messages and documents submitted through the Service
  • Support communications

2.2 Payment and Financial Information

When using payment features, you may provide financial information through our payment and bank verification partners.

This may include:

  • Bank account details
  • Payment authorization information
  • Transaction amounts and payment history

Important:
Resida does not store full bank login credentials. Financial account verification and payment processing are performed by third-party providers.

2.3 Information from Third Parties

We may receive information from service providers such as:

  • bank verification providers (e.g., Plaid);
  • payment processors;
  • identity verification services; and
  • communication delivery providers.

These providers supply information necessary to enable payments and account verification.

2.4 Communications Data

Messages sent through the Service, including tenant-landlord communications, may be stored and processed to:

  • deliver messages,
  • maintain conversation history,
  • provide notifications,
  • support dispute resolution,
  • maintain platform safety and reliability.

2.5 Documents and Content Processed by AI Features

When you use AI-assisted features — such as automated expense extraction and categorization — documents and content you submit or forward to the Service may be transmitted to third-party AI service providers for analysis.

This may include:

  • email text and attachments (receipts, invoices, statements);
  • images, PDFs, and other document files;
  • contextual property and unit information used to interpret submitted content.

See Section 5.2 for the specific providers involved.

2.6 Automatically Collected Information

We automatically collect technical data such as:

  • IP address
  • device type
  • browser type
  • operating system
  • usage activity
  • log and diagnostic information

This information helps operate and secure the Service.


3. How We Use Information

We use collected information to:

  • provide and operate the Service;
  • create and manage accounts;
  • facilitate communications between users;
  • enable and record payments;
  • send transactional notifications;
  • detect fraud or abuse;
  • maintain security;
  • provide customer support;
  • improve platform functionality;
  • process documents and content through AI-assisted features to extract, categorize, and organize information on your behalf; and
  • comply with legal obligations.

We do not sell personal information.


4. Legal Bases for Processing (Where Applicable)

Depending on your jurisdiction, processing may occur based on:

  • performance of a contract;
  • legitimate business interests;
  • legal compliance obligations; or
  • user consent.

5. How Information Is Shared

We share information only as necessary to operate the Service.

5.1 Between Platform Users

Information may be shared between landlords and tenants as required to manage properties and tenancies, including:

  • contact details,
  • payment records,
  • communications, and
  • tenancy-related information.

5.2 Service Providers

We share information with trusted providers that help operate the Service, including:

  • Stripe (payment processing) — payment card and transaction data is transmitted via encrypted API under Stripe's data processing agreements;
  • Plaid (bank account verification) — bank account information is transmitted via encrypted API under Plaid's data processing agreements;
  • OpenAI (AI-assisted features) — when AI expense extraction or categorization features are used, submitted documents, email content, and associated property and expense data are transmitted via encrypted API to OpenAI for analysis; data is processed under OpenAI's API data usage policies, which provide that API-submitted data is not used to train OpenAI models;
  • cloud hosting and infrastructure providers;
  • email and notification services;
  • analytics and monitoring providers.

These providers are contractually required to protect information and may not use it for their own independent purposes.

5.3 Legal Requirements

We may disclose information if required to:

  • comply with law or legal process;
  • respond to lawful requests by authorities;
  • enforce our Terms of Use;
  • protect rights, safety, or property.

5.4 Business Transfers

Information may transfer as part of a merger, acquisition, financing, or sale of assets.


6. Payments and Financial Integrations

Payment functionality relies on independent financial service providers.

When you link a bank account or initiate payments:

  • information is transmitted securely to payment providers;
  • those providers process data under their own privacy policies;
  • Resida receives limited transaction and verification data necessary to operate the Service.

Resida does not control how financial institutions use information once shared with them.


7. Communications Monitoring and Processing

Communications transmitted through the Service may be processed using automated systems to:

  • route messages,
  • detect spam or abuse,
  • generate notifications,
  • improve reliability,
  • support customer assistance.

Resida does not routinely review communications manually unless necessary for support, security, or legal compliance.

7.1 AI-Assisted Processing and Automated Actions

Certain platform features use artificial intelligence to analyze documents and data you submit. When you use expense management features:

  • Documents forwarded or uploaded to the Service may be transmitted to third-party AI providers for automated extraction and categorization of expense information.
  • The platform may automatically categorize and, when confidence thresholds are met, confirm expense entries without further user action.
  • You may review and modify AI-generated categorizations and corrections at any time.

These automated actions are limited to organizing expense data you have submitted and do not affect legal rights or obligations beyond the management of your platform records.


8. Data Retention

We retain information only as long as necessary to:

  • provide the Service;
  • maintain account history;
  • comply with legal or financial recordkeeping obligations;
  • resolve disputes; or
  • enforce agreements.

Retention periods may vary depending on the type of information and legal requirements.


9. Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect information, including:

  • encrypted transmission of sensitive data;
  • access controls;
  • authentication protections;
  • infrastructure monitoring and logging.

No system can guarantee absolute security.


10. Cookies and Tracking Technologies

We may use cookies or similar technologies to:

  • maintain login sessions;
  • remember preferences;
  • analyze platform usage;
  • improve performance.

You may adjust browser settings to control cookies, though some features may not function properly.


11. Your Privacy Rights

  • restrict or object to processing;

Resida does not sell or share personal information for cross-context behavioral advertising.
